As a reminder, all volunteers have a responsibility to ensure that any personal information we hold about young people is stored securely and managed in line with UK GDPR and Scouts’ Data Protection Policy.
Scouts recommends using secure digital systems wherever possible, and Online Scout Manager (OSM) is an excellent way to maintain accurate records while controlling access to those who need it for their role.
As Trustees, if your Group retains any paper records, you should regularly consider your data storage arrangements: where records are kept, who has access to them, how they are protected from loss, theft or unauthorised access, and how they are securely destroyed when no longer required. Personal data should only be held for legitimate Scouting purposes, kept up to date, and retained for no longer than necessary.
Remember that each Scout Group is a data controller in its own right and is responsible for complying with data protection legislation and demonstrating that compliance.
